White-Label Store Feature : Charge to Organization

Fulfill Engine provides flexible options for allowing an organizer to cover the cost of orders within a white-label store—without requiring vouchers or gift codes. This functionality is controlled through store feature flags, allowing individual buyers to place and ship their own orders while billing responsibility is assigned to the organization.

Overview

There are several scenarios where charging orders to an organization is beneficial:

  • Team stores where a coach or organization is covering all player gear
  • Corporate stores where employees order individually but the company pays
  • Event or promotional stores where a sponsor is funding purchases
  • Funded programs where individual checkout should remain simple for users

Unlike gift codes, this method does not require code distribution or redemption, creating a more seamless checkout experience.

Available Charge to Organization Options

Within your white-label store settings, you will find the following feature flags:

  • Charge to Organization (Hide Pricing)

    • End users do not see product pricing in the storefront
    • Orders are placed normally (size, color, shipping, etc.)
    • The organization is billed for all orders
    • Ideal for fully funded programs where pricing should not be visible

 

  • Charge to Organization (Show Pricing)

    • End users can see pricing, but are not charged at checkout
    • Orders are still billed to the organization
    • Useful when transparency is needed, but payment is centralized
  • Optionally Charge to Organization

    • Allows a hybrid model
    • End users can choose between:
    • Paying for their order themselves, or
    • Charging the order to the organization
    • Ideal for partial subsidies or flexible funding programs

How It Works

When one of these options is enabled:

  • Buyers place orders individually through the storefront
  • Orders follow standard production and fulfillment workflows
  • Shipping can still be direct-to-consumer (individual addresses)
  • Payment responsibility is assigned based on the selected configuration

This eliminates the need for:

  • Gift codes
  • Voucher distribution
  • Manual reimbursement workflows

How to Enable Charge to Organization

  1. Navigate to your Store Dashboard
  2. Select Tasks > Edit Store Features
  3. Locate the following flags:
    1. Charge to organization (hide pricing)
    2. Charge to organization (show pricing)
    3. Optionally charge to organization
  1. Enable the desired option
  2. Save your changes

Important Considerations (Read Before Enabling)

Using Charge to Organization removes purchasing controls that are normally enforced through gift codes or vouchers.

There are no built-in guards on what or how much a user can order

  • Users can potentially abuse the store by placing excessive or unintended orders
  • Gift codes provide controlled value limits, whereas this approach does not

Additionally:

If the store is set to Fulfill Engine Network production AND the Hold Orders flag is not enabled, orders will automatically route into production immediately after checkout

This means:

Orders may be produced before review or approval AND the organization assumes full financial responsibility for all submitted orders

Best Practices

To reduce risk when using Charge to Organization:

  • Use Hold Orders if you want review/approval before production

  • Clearly communicate ordering guidelines to users

    • Consider using gift codes when you need strict budget control
    • Monitor orders regularly during active store periods

Billing & Reporting

All orders placed under Charge to Organization:

  • Are tracked within the Sales Portal like standard orders
  • Can be exported at the store or account level
  • Are consolidated for billing to the organization

This provides full visibility into:

  • Order volume
  • Product selection
  • Shipping destinations
  • Total costs

Comparison to Gift Codes

Gift codes and discount codes require setup and distribution, but they provide built-in spending controls and limits.

Charge to Organization removes that friction, but also removes those safeguards.

Summary

Charge to Organization enables a true organizer pay model without vouchers, allowing:

  • Individual ordering
  • Individual shipping
  • Centralized billing

However, it should be used carefully, as it introduces risk without built-in purchasing limits.
